The Information We Collect and How We Use It

The Nielsen Company Japan contributes to society by surveying and collecting (acquiring) data on consumer awareness and knowledge of products and services through marketing research and statistically processing such information and providing it to corporations and organizations.


Although the marketing research is based on good intentions for consumers, as a business collecting (acquiring) and using iinformation that includes the personal information of consumers on a daily basis, we consider we have a responsibility for properly collecting (acquiring) and using and securely managing personal information.

IIn order to clarify such responsibility, we set out here our Personal Information Protection Policy and state our commitment to iimplement this policy both within our company and to the public.

  1. Collection(Acquisition), use and provision of Personal Information
    • The purpose of use will be clearly set out for collection (acquisition) and the collection (acquisition) will be conducted by proper and fair means
    • The use of personal information will be within the scope of the purpose of use consented to by the person in question
    • There will be no provision of personal information to third parties in principle; however, if personal information is to be provided to third parties, the consent of the person in question will be obtained beforehand
  2. Secure management of Personal Information
    Organizational, personnel, physical and technological measures will be taken for secure management in order to prevent unauthorized access, loss, destruction, tampering or leakage of personal information.
  3. Compliance with laws and other regulations concerning personal information
    We will observe Japanese laws and guidelines concerning the protection of personal information and the Code of Conduct of Marketing Research prescribed by the Japan Marketing Research Association of which our company is a member in handling personal information.
  4. Continuous improvement of compliance program
    In order to implement the Personal Information Protection Policy, we have established and implemented a compliance program which includes company rules. In order to improve the program’s effectiveness, we will conduct training for all employees, and regularly audit the implementation and continually review and improve the compliance program.

    By fully understanding the spirit of the Personal Information Policy and the handling procedures for personal information, all employees of the company promise to endeavor to protect personal information using the utmost care in their daily work.

<Purpose of use for personal information>

  1. 1. The company’s main business is conducting marketing research, opinion polls and company research. The company surveys and collects (acquires) data on consumer awareness and knowledge of products and services and statistically processes such information for the purpose of providing it to corporations and organizations. The collected (acquired) personal information is organized into statistical data in principle and is not used in a form in which individuals can be identified
    2. In finding research subjects, there are cases where personal information, such as names and addresses, is collected (acquired) beforehand. Such information is extracted from browsing through the Basic Resident Register and other publicly available registers or publications such as commercially available directories or provided by clients for marketing research business. We use such information resources in an ethical and legal manner
    3. The company widely seeks persons willing to cooperate in its research and in some cases applicants are registered and then become research subjects. They are informed prior to application of the purpose of use of personal information collected (acquired)
    4. In some cases, marketing research is conducted without specifying research subjects and personal information such as names and addresses are collected (acquired). In such cases, the research subjects are notified of the purpose orally or in writing beforehand

<Retained personal data>

Paragraph 5 of Article 2 of the Act on the Protection of Personal Information defines “retained personal data” as follows.


“Such personal data over which an entity handling personal information has the authority to disclose, to correct, add or delete the content, to suspend its use, to erase and suspend its provision to third parties, excluding the data which is specified by a Cabinet Order as harming public or other interests if its presence or absence is known and the data which will be erased within a period no longer than one year that is specified by a Cabinet Order (Cabinet Order: 6 months).”

The items and purpose of use of retained personal data handled by the company are as follows.

  1. Items of retained personal data: Name, address and answers to questions for the purpose of research
  2. Purpose of use of retained personal information: Preparation of statistical data useful in the improvement of products and service

<Requests for “disclosure”, “correction”, etc. of retained personal data>

We will respond to requests for disclosure, alteration (correction, addition and deletion of content), suspension of use, etc. (“suspension of use or erasure” or “suspension of provision to third parties”) of retained personal data from the person in question or his or her representative.

  1. Items subject to requests for disclosure, etc
    Name, address and answers to questions for the purpose of research .
  2. Where to apply for requests for disclosures, etc
    Please send by post the prescribed filled out application form with the necessary documents attached for requests for disclosure, etc. It would be helpful if the phrase “request for disclosure, etc. enclosed” was written in red on the envelope

  3. Documents (forms) to be submitted for requests for disclosure, etc
    When making a request for disclosure, etc, download the following application forms (1) and after filling out all the prescribed matters, enclose one of the following documents (2) for identification

    A. Our company’s prescribed application forms:
    Application Form for Purpose of use of Retained Personal Data
    Application Form for Disclosure of Retained Personal Data
    Application Form for Alteration of Retained Personal Data
    Application Form for Suspension of Use, etc. of Retained Personal Data
    B. Documents for identification:
    One copy of a public document such as driver’s license or passport
  4. Requests for disclosure, etc. by representative
    In a case where the person requesting disclosure, etc. is a legal representative of the person in question, minor or ward who has attained majority or a representative delegated by the person in question for the request of disclosure, etc., in addition to the documents in the preceding paragraph, please enclose the following documents ((1) or (2)).

    (1) In the case of a legal representative:
    One copy of the prescribed form

    One copy of a document to confirm the legal right of representation (family register or in the case of a person with parental authority, a copy of an insurance card mentioning the dependant is acceptable).

    One copy of a document to confirm that the person is the legal representative of the minor or ward who has attained majority (a copy of a public document such as driver’s license or passport of the legal representative).

    (2) In the case of a delegated representative:
    One copy of our company’s prescribed power of attorney.
    One copy of a certificate with a seal impression of the person in question
  5. Charges for request of disclosure
    300 yen (tax included) for each request
  6. Method of replying to requests for disclosure, etc.
    We will reply in writing to the address on the application form of the applicant.

  7. Purpose of use of collected (acquired) personal information concerning the request for disclosure, etc.
    Personal information collected (acquired) in connection with a request for disclosure, etc. will only be used to the extent necessary to respond to the request for disclosure, etc. The documents submitted will be kept for two years after the reply to the request for disclosure, etc. and will be destroyed thereafter.

  8. Reasons for non-disclosure
    Information falling under the following 1-7 will not be disclosed. In the case of a decision made for non-disclosure, we will give notice to such effect with the reasons.

    1. The person in question cannot be confirmed due to reasons such as the address on the application form and the address on the document for identification do not match the address on file with the company
    2. The right of representation cannot be confirmed in the case of an application by a representative
    3. In a case where there is a defect in the prescribed application documents
    4. In a case where the subject of the request for disclosure does not fall under retained personal information.
    5. In a case where there is a possibility that the life, limb or property or other rights and interests of the person in question or a third party will be harmed
    6. In a case where there is a possibility that the disclosure will significantly interfere with the proper conducting of the business of the company
    7. In a case where disclosure would violate laws

<Third party provision of personal information>

The company will appropriately manage the personal information collected (acquired) and will not provide it to third parties without the prior consent of the person in question, except in the following cases.

  • In accordance with laws
  • In a case where provision is particularly required for the life, limb or promotion of the healthy self-development of children and it is difficult to obtain the consent of the person in question
  • In a case where it is particularly required for the improvement of public health or the healthy development of children and it is difficult to obtain the consent of the person in question
  • In a case where cooperation by a national agency, local authority or a person otherwise entrusted is necessary for the performance of affairs prescribed by law and there is a possibility that obtaining the consent of the person in question would interfere with the performance of such affairs
